Summary Email Formatting

Since the Review Notes App's Summary Email feature was released we've heard feedback from some clients that they'd like control over the email's formatting. Some requests have been to customize the subject line, remove details such as an Artist's name or include other information from custom fields and Thumbnails.

Please add your support to this feature if you'd like to see this implemented.

    I'll make sure this gets escalated internally so that one way or another we can Frank and everyone an answer on whether or not there is any movement.

    Yeah definitely,  adding thumbnails for example would be great.

    actually being able to overwrite the entire email body. 

    Right now I'm thinking about doing all the emails by myself with python by looking at the Event Log every minute. Like that I could use jinja, html templates, embedded images, ... But it would be much better if I had control over what SG is sending.

    (artists hates the mail's notification and the ugly formating is playing a big part in this dislike.

    Customizing the email notification would be very helpful. There is a lot of unneeded info for us in the formatting now -- which causes artist to ignore the notification.

    Agreed! We'd love to add in the ID number for the versions being referenced in the email.

    Agree with Kristin, above - adding version IDs would be incredibly useful, and being able to control the format ourselves, as different things become more important/less important depending on the project/client.

    I agree. There should be an option to format

    a) with thumbnail like in the summary

    b) without thumbnail

    Yes, artist try to ignore any shotgun emails as best they can. Pictures would help!

    Ok, I have been waiting for three years now for this.

    All I would like to see inlcuded is the project name SOMEWHERE, because in all the summary eMails I get, there's the project itself missing. As I work on multiple projects most of the time, I need to guess to which project it belongs to!

    Please, pretty, pretty, please, make this feature available!

    Hi Jan, Doug, et al,

    This definitely warrants some time for design and estimation by our engineers so we can determine what the size/scope of this feature would be. I'll get that process underway.

    I can say that come 7.3.0.0 the Project name is being added to the summary email's subject so you can more easily delineate between multiple active Project reviews.

    Adding thumbnail instead of only links would be SUPER helpful!

    Yes, pretty please!!!!! Thumbnails seem to be a must in the email summary. It make it so much easier to identify shots.

    More formatting control overall will help make this a nice option for turnover documents to the client as well as internal use.

    Since this thread is now 4 years old may I ask if there is any movement on this?

    This is unacceptable behavior from a company with such market share in our industry. 

    The subject lines auto generated by Shotgun are rubbish and unusable, why is everyone just accepting this incompetence?

    Example from today... Subject: CRZ_20180801_ClientReviewRETIMES - August 1st [Links: Playlist CRZ_20180801_ClientReviewRETIMES, Shot crz_cpd_0880, Daily crz_cpd_0880.13] (Show Name)

    It's not until over 100 characters that I can determine what shot this is in reference to!?!

    Everyone's been far too nice, the fact that we don't have basic controls to customize simple email templates & formatting (circa 1998) is simply a FAIL on the part of both the Shotgun support and dev teams.

    Also, it's 2018, can we get a Discord, Telegram, and/or even a #slack channel so users can interact with the team openly and in real-time?  These are great platforms to provide updates, information, support, requests, feedback, etc. It can help build, as well as strengthen the Shotgun community, which in turn garners opportunities to improve Shotgun.

    Thanks for the links Alex! We definitely need to make those more discoverable for the rest of the community. I'll talk with the team about where we can more clearly advertise those.

    To address your constructive feedback David, yes, a longstanding request like this should have some more official response than my minor addition from last year. We've had some priorities shift since my last reply and we admittedly dropped the ball in getting the other requests in this thread pushed further along. I'm working to rectify that so I can report back if this is something we may work on in the near future, further out, or just not planned at all.

    Based on your example it looks like you're conflating the original intent of this request (formatting control of the summary email that comes from the Review Notes App) with general email notifications. Those too can be better, though they do offer more customization than what is currently provided for the Review Notes summary email.

    For your example with the subject line I'd recommend checking out the documentation for modifying email layouts which allows you to select which fields appear in the subject and body, and in what order. This way you can put the Project name at the front of the subject, or whatever fields would be most helpful.

    I did hunt around for them across the site, but couldn't find them.  Makes sense to add the Discord icon to your social media badge array no?

    Brandon, I appreciate the response, the harsh posts stem from many frustrations as an artist using Shotgun for far too many years disappointed by the user experience.  Thank you for the insight and link to formatting the Review Notes App emails, happy to discover we have some control here.  We will try it out a more concise result, and post back our results. :)

    Hey Folks,

    I had a chat with the PM who oversees this part of Shotgun while at Siggraph, and it doesn't sound like we'll be looking into this sort of feature within the next quarter or two. We will continue to monitor this thread and evaluate when this sort of enhancement might fit in with a future release.
