Add Versions to Playlists on other projects (Global Playlists)

We've heard from clients looking at a way to put together showreel shots, and they came up with the idea of using the Versions on the specific projects, and adding
them to a Playlist on another (Showreel) project.

Right now, it's possible to change the playlist project when doing "Add to New Playlist", but you can't change the list of playlists shown when doing "Add to Existing Playlist."

It would be great to be able to at least change a search setting in the pop-up for selecting an existing playlist to be able to do this.

----

Addendum, April 2017

To expand on this a little further, we've also heard of other use-cases where Studios want to group Versions from many projects into one playlist (Global Playlists):

Department dailies

Departments may run daily sessions where work from different projects are shown and compared. An example of this might be the FX department running a ‘simulation’ dailies, where liquid, smoke, fire simulations from all current shows are reviewed together in a playlist and notes taken.

Cross-show Reference

Clips from other shows would be bought into a playlist for reference. For example, you may be working on a car model and the supervisor wants to pull in other vehicle reference from previous shows. This seems especially popular for studios that work on franchise shows, with many sequels.

VFX Reviews

Often VFX supervisors will work across multiple shows at one time. When organising a review session, It's much easier to put all of the work that's 'pending review' into one Global Playlist, than having to organise a playlist per-project

There are many places in Shotgun where we assume that playlists belong to a project: Client Review, Review Notes App, Screening Room, Media App, RV integration, etc, so please include details of your use-case along with your +1 vote, as that will help us scope this feature.

Just some food for thought...we were trying to do a similar thing here, but also for various presentations that we have to present to potential new clients.  We frequently need to gather demos and showreels from various projects, so we came up with the idea to use a CustomNonProjectEntity to help accomplish this.  We made one called "Presentation" and enabled Tasks and Versions on it.  Then, by adding a Mutli-Entity field to Versions called Presentations that links to this new entity, we can make a kind of playlist that lives outside any particular project.

We also have a general "Studio" project that we can also house specific Tasks for individual presentations in, such as powerpoints or other materials that aren't tracked as precisely in Shotgun.  These are then linked to the specific presentation.

Biggest limiting factor here though is that the Versions can't all be in the same playlist, but at least they can all be seen in the detail view for the Presentation.

I think this could be a really useful feature for us. We have approvers who span nearly all our projects. It would simplify our approval flow if we could add versions from any project to one playlist in a "master" approval project. It would certainly make using the SG Review app an easier process - no need to keep going into and out of different projects to find what's waiting for approval.

I'd be interested in hearing what the compelling argument was that led to the decision that a Playlist must be linked to only one Project.

Can anyone say how, "our facility would be affected badly by cross-Project Playlists."

This choice, after all, could be controlled by a Site Preference.

Thanks to Jacob for the suggestion.

We really need to be able to add multiple project versions to one Playlist. We tend to have more projects than versions! As it stands we need to create a x1 Playlist for x1 Version. This is very time consuming and doesn’t really work for dailies/review sessions especially when we have one “approver” for all projects. The Notes App is very useful, it’s a shame we can’t put it to good use - we jump from reviewing one version to another in dailies which means the Notes App is super important to our work flow.

Ooops - thanks Tony - will merge the two.

I know this is a little bit of an old Feature Request, but is something that would be exceptionally helpful for us. The Department Dailies workflow is something we come across frequently and currently have no good way to solve without having to just send out several different review playlists.

Another use case is when we have multiple projects all for one client, and want to give them a single playlist to review for all the projects. Currently this is also impossible which causes inconveniences.

TBH it isn't a very old FR.

eg. this one is ten years old:

Totally, just meant reviving an old thread, but I guess that's how they know people are still interested in the feature.

Apparently I also commented on the one you linked above 3 years ago and completely forgot... lol

(At least with field validation you can just create tools to create and edit every single entity type, which is what we do so that we can have validations, not so easy to make your own media player/playlist setup that loads global playlists)

My team asks for this regularly. We are juggling many internal projects at once, with some of our discipline teams working across several of those projects.

We ALSO have been getting by through making several playlists, but this is clumsy and I wish there was a different solution.
